3 Tips Praktis Membangun Knowledge Management

Knowledge-based economy, demikian sebuah kosa kata yang kini makin acap terdengar. Frasa itu secara eksplit juga makin meneguhkan pentingnya makna pengetahuan bagi eksistensi sebuah organisasi – entah itu organisasi bisnis ataupun organisasi publik.

Dalam konteks itulah, kini juga makin mendesak sebuah kebutuhan bagi setiap organisasi untuk membangun apa yang disebut sebagai knowledge managementatau manajemen pengetahuan. Knowledge management atau sering disingkat KM sendiri sejatinya dapat diartikan sebagai sebuah tindakan sistematis untuk mengidentifikasi, mendokumentasikan, dan mendistribusikan segenap jejak pengetahuan yang relevan kepada setiap anggota organisasi tersebut, dengan tujuan meningkatkan daya saing organisasi.

Di Indonesia sendiri, konsep dan aplikasi dari knowledge management ini sudah makin berkembang dengan baik. Bahkan ada sebuah organisasi konsultan, yakni Dunamis (pemegang lisensi Stephen Covey di Indonesia) yang memberikan award tahunan bagi perusahaan di Indonesia yang dianggap terbaik dalam penerapan knowledge management. Award itu disebutMAKE (Most Admired Knowledge Enterprises), dan tiga pemenang utama untuk tahun 2008 ini adalah Excelkomindo Pratama (XL), Astra International dan Telkom Indonesia.

Lalu langkah apa saja yang mesti dilakukan untuk mengembangkan knowledge management yang tangguh? Berikut tiga tips praktis yang mungkin bisa dirajut guna menata knowledge management yang efektif.

Langkah yang pertama adalah membangun apa yang bisa disebut sebagai Portal Pengetahuan secara internal (intranet knowledge portal). Dalam portal yang bisa diakses oleh setiap anggota perusahaan inilah, disusun beragam folder dan menu pengetahuan yang relevan. Isinya bisa menyangkut artikel-artikel tentang manajemen praktis; paper mengenai dinamika industri bisnis yang digeluti; materi-materi pelatihan internal; ataupun juga berupa paper pengalaman dari karyawan perusahaan tersebut dalam mengerjakan sebuah projek tertentu.

Dulu ketika saya masih bekerja pada sebuah perusahaan konsultan asing, firma saya ini menyediakan sebuah portal pengetahuan yang sangat ekstensif. Salah satu menu favorit kami adalah “lesson learned paper” yang berisikan poin-poin penting apa – baik poin kegagalan ataupun keberhsilan — yang diperoleh ketika rekan-rekan kami mengerjakan projek konsultasi untuk para kliennya di berbagai negara di dunia. Melalui paper ini, “learning curve” kami dapat bergerak dengan cepat lantaran adanya proses saling berbagai pengetahuan dari beragam sumber di beragam tempat.

Lalu, siapa yang mestinya mengelola portal pengetahuan ini? Idealnya mesti ada satu dedicated person yang bertugas mengidentifikasi, mengkodifikasi dan menata beragam sumber pengetahuan yang relevan (sebutannya adalah “knowledge officer”). Orang ini tentu mesti dibantu oleh tim IT untuk menyiapkan infrastruktur database dan portal intranet tersebut.

Langkah praktis kedua adalah dengan mentradisikan semacam pertemuan Knowledge Sharing Session, selama sekitar 2 jam, setidaknya setiap bulan sekali. Sharing session ini bisa dilakukan secara corporate-wide, atau dilakukan per departemen/divisi. Bisa dilakukan dengan mengundang narasumber dari luar atau internal. Materinya bisa berupa pengetahuan manajemen praktis ataupun pengalaman karyawan dalam mengerjakan sebuah tugas/projek. Hasil sharing session ini kemudian juga bisa di-upload ke Portal Pengetahuan, sehingga setiap karyawan bisa mengakses materinya. Knowledge sharing session ini akan sangat bermanfaat dalam menggali dan mendistribusikan potensi pengetahuan yang ada dalam diri setiap karyawan perusahaan.

Langkah praktis ketiga adalah dengan menerbitkan semacam Online Knowledge Buletin. Buletin ini dapat diterbitkan sebulan atau dua bulan sekali, dan berisikan update pengetahuan-pengetahuan mutakhir mengenai manajemen/bisnis ataupun mengenai dinamika industri yang ditekuni oleh perusahaan tersebut (beragam artikel yang ada di blog ini juga sangat cocok menjadi materi buletin itu…..hehehehe). Buletin ini sebaiknya didistribusikan melalui multimedia email (email multimedia maksudnya email yang isinya variatif, penuh warna dan elemen visual lainnya; jadi berbeda dengan email tradisional yang garing dan biasa Anda terima itu). Melalui knowledge buletin ini, pengetahuan setiap karyawan perusahaan Anda bisa terus disegarkan dan ter-upate; jadi tidak lapuk ketinggalan zaman.

Demikianlah tiga langkah praktikal yang mungkin bisa Anda lakukan untuk mulai membangun knowledge management system di kantor/perusahaan Anda. Sebuah tindakan untuk merawat, menyemai dan memupuk benih-benih gagasan setiap insan demi tumbuhnya sebuah taman pengetahuan yang indah nan mencerahkan.
